Playbook, car dealership
The buyer who has chosen one, handed over before somebody else does
This is the only handover in the trades set with no safety in it and no contractual clock behind it, and it is still the most time sensitive of the four, because what is at stake is one specific car that other people are also looking at. The visitor has stopped browsing and picked something. From that moment everything the assistant does other than pass them on is a delay.
Why this is not the general answer
The handling pattern for asking for a person holds across every trade. What follows is the part that does not.
- The trigger is enthusiasm rather than trouble, which makes this the only handover here that should read as a welcome instead of an apology.
- A reservation is a commercial act: it takes a payment and takes a car off sale, so it belongs wholly to a person, and the assistant must never imply the process has started.
- The buyer has a registration or a stock number in mind, and capturing it is the difference between a message the sales team can act on and one they have to decode from a colour and a model.
- A finance question arrives in the same breath and goes the same way for an entirely different reason, because consumer credit is regulated and eligibility is a lender's decision rather than a dealership's.
How it arrives
- i want to reserve the grey golf
- can i put a deposit down online
- can someone call me about this car
- i want to buy it, what happens next
- what apr would i get on this one
- can i pay something to hold it until friday
What has to be indexed for this to work
| How a reservation works and what it does | What it costs, how long it holds the car, and what happens to the payment afterwards. Published, because a buyer deciding whether to reserve is deciding on those three facts. |
|---|---|
| The sales team route and when it is answered | A number and the hours behind it. This handover resolves into a phone call, so the wording should not imply one at nine on a Sunday night if nobody is there. |
| Your approved finance wording, character for character | The representative example exactly as approved for publication, and nothing written around it. Index the approved block and no friendly explainer beside it, because the explainer is what gets quoted loosely. |
| How one car is identified | Registration or stock number. Named in the material so the assistant asks for it by name rather than accepting a description. |
The reply
Reserving a car means a payment and taking it off sale, so it is done by the sales team rather than through a chat window, and they can usually do it on the phone. Send me your name, a number and the registration or the stock number and it goes straight to them. If finance is part of it, say so in the same message: the representative example on our finance page is the published figure, and rates and eligibility are decided by the lender rather than by us.
One sentence explains why it is not doing the thing, and the rest gets an interested buyer to the desk with the vehicle already identified. The finance clause answers the question that always follows without straying a word past the approved wording.
Where it stops
The trigger. Any statement of intent about a specific vehicle: reserving, holding, leaving a deposit, or asking what happens next. Also every personal finance question, immediately and without exception.
This is one for the sales team. Leave your name, a number and the registration or stock number and they will call you back about that car.
It stops answering before it guesses, says who will pick it up, and asks for the one thing that makes a reply possible. Nothing about it reads as a dead end.
Never say this here
Out of bounds
- That a car has been reserved, held or taken off sale.
- Ask for or accept card details, or any part of a payment.
- Any rate, monthly figure or likelihood of acceptance outside the published representative example.
- That a deposit is refundable, since that sits in the reservation terms.
Questions
- Could it take a deposit if we connected a payment page?
- It does not write into any system and it should never be asking for card details in a chat window in the first place. A reservation is a car taken off sale, and that decision wants a person who can see the stock and the pipeline behind it.
- Why does the finance question go to a person too?
- For a completely different reason from the reservation. Promoting consumer credit is regulated where you almost certainly operate, the wording is approved as a block, and an assistant paraphrasing a rate or hinting at acceptance has published an unapproved promotion in the dealership's name.
- Is this not just a contact form with extra steps?
- It is a contact form that arrives with a stock number in it, sent at the moment somebody decided. Those two things are most of what the sales team needs, and the alternative is a visitor who closed the tab because the only route was a number they would ring tomorrow.
