Room blocks, function space and the enquiry that goes cold

A group enquiry at a hotel is not a large version of a normal booking. It is a block of rooms held against a cut off date, often with function space, catering minimums, a rooming list and a signed contract behind it. The booking engine cannot take it, the guest knows that, and what they are really doing is finding out whether it is worth starting a conversation with you.

Why this is not the general answer

The handling pattern for group bookings holds across every trade. What follows is the part that does not.

  • There are two inventories in play rather than one, rooms and space, and the enquiry usually dies on the second because a wedding or a conference needs the room and the space on the same date.
  • A block is held rather than booked: rooms are set aside until a cut off date, unsold rooms release back, and the contract sets who carries that risk, none of which resembles an individual reservation.
  • The commercial value per enquiry is high enough that speed of first response is most of the win, so the job here is capture and route rather than answer.
  • Unlike a restaurant party, almost nothing can be quoted: rates for a block are negotiated per enquiry, so any figure the assistant offers is a number sales will have to walk back.

Questions

If it cannot quote anything, what is it doing on this page?
Qualifying and capturing. A planner who leaves knowing the block mechanism, the capacities and what to send is worth far more to the events team than a form filled in with only an email address. Most group enquiries are lost to slow first responses rather than to price.
Can it tell somebody the wedding date is free?
No, and this is the one to be strict about. It has no view of the function diary, and an enquiry told a Saturday is free that has already gone is a complaint with a wedding attached to it. It should say plainly that it cannot check and route the date to the events team.
What should the enquiry form ask for?
It collects a name, an email and a message, so put the five fields in the wording and ask for them in the message: dates, rooms, guests, space and whether the date can move. That last one changes what the events team can offer more than anything else in the list.
