Sold out tonight is not sold out on Thursday

A hotel showing no availability for a date is rarely sold out in any permanent sense. Flexible bookings cancel inside their window, an allocation held for a wedding releases its unsold rooms back on a stated date, and a room returns to sale the same afternoon somebody changes their plans. Guests know this, which is why the message is not really asking whether a room exists. It is asking to be told when one appears.

Why this is not the general answer

The handling pattern for waiting lists holds across every trade. What follows is the part that does not.

  • Inventory here comes back on a schedule as well as at random. A block held for a group has a release date written into the contract, and the rooms nobody took go back to general sale on it, which is a genuinely predictable second chance rather than a hope.
  • There is nothing to queue for and no position to hold, because rooms are not allocated in the order people asked. What a hotel actually keeps is a note of who to ring, and telling somebody they are third in line invents a mechanism that does not exist.
  • The same night can be closed on the hotel's own booking page while an allocation still sits with an agent, so a guest told there is nothing may find a room somewhere the hotel does not control.
  • Anybody asking about a full date usually has a fixed reason for it, a wedding, a fixture, a graduation, a hospital appointment, so the useful second question is whether a neighbouring night or a different room type would work.

A reply worth copying
Dates that show as full do open up again, usually because a flexible booking cancels or because rooms held for a group are released back into sale on a set date, so it is worth asking rather than writing the weekend off [1]. What I cannot do is check what is free, add you to anything, or promise that anybody will call. There is no queue position and nothing is held by asking [2]. If you leave your name, an email, a phone number, the dates and how flexible you are, reservations will note it and ring you if something opens, and they can also tell you whether a nearby night works. Rooms that come back tend to go the same day, which is why the phone number matters more here than the email.

The mechanism for the reopening is given first, because a guest who understands that a group release exists will actually leave their details rather than move on. The absence of a queue is stated flatly, since an implied position becomes a promise the desk gets held to. The phone number is asked for with the reason attached, which is what makes people hand it over.

Out of bounds

  • Never say a room is likely to come up, or put odds on a date, because that is a guess somebody may plan a wedding around.
  • Never give a position on a list, since rooms are not allocated in the order people asked and no such position exists.
  • Never say a date is sold out anywhere beyond the hotel's own booking page, when agents hold allocations the hotel does not control.
  • Never promise that reservations will call, which commits a person on a shift nothing here can see.

Questions

Can it add somebody to the cancellation list?
No. It cannot write into any system or list. It collects the name, the email, the phone number, the dates and the flexibility, sends them to the address you nominate, and a person adds them. That is the whole of what it does here.
Is a cancellation list worth keeping?
For event weekends where the same date is asked about repeatedly, yes, and only if somebody actually works it. A list nobody rings is a stack of guests who booked elsewhere and now remember you as the hotel that never called back.
Should it tell people a date might open up?
It should describe the mechanisms, cancellations and group releases, without estimating a chance. The mechanism is a published fact. The likelihood is a guess with somebody's plans resting on it.
