Playbook, mortgage broker

Getting an initial call arranged without touching the calendar

The initial call is the product at this stage, and most of the people who do not book one are not unconvinced, they are uncertain about what it involves. Whether it costs anything, whether it puts a mark on their credit file, whether they are expected to have found a property already, how long it takes. Every one of those is a fixed answer, and answering them is worth more than a booking widget, because the assistant cannot write into a diary anyway.

Why this is not the general answer

The handling pattern for appointment booking holds across every trade. What follows is the part that does not.

  • The hesitation before booking here is specific and unusual: applicants believe a conversation with a broker will show up on their credit file, and that belief stops calls that nothing else would.
  • Enquirers arrive at wildly different stages, from just looking to offer accepted, and what the first call is for changes completely between them.
  • The appointment is often needed at an odd hour, because people talk about their finances after work and away from an open plan office.
  • A decision in principle sits close behind this question and is frequently what the enquirer actually wants, so the reply has to distinguish it from the initial conversation.

How it arrives

  • can i book a free initial chat
  • will an enquiry affect my credit score
  • how long does the first appointment take
  • do you do evening or weekend appointments
  • do i need to have found a house first
  • how soon can i get a decision in principle

What has to be indexed for this to work

Material behind this answer
What the initial conversation covers, and whether it is chargeableHow long it runs, whether it is by phone, video or in person, what the adviser will ask, and what the applicant gets out of it. The clearer this is, the fewer people decide to think about it and never come back.
What happens to somebody's credit file, and whenThe difference between a soft check at the enquiry stage and a hard footprint at application, and the exact point in your process each occurs. Applicants worry about this more than brokers expect, and it silently costs bookings.
Your availability, including anything outside office hoursThe hours advisers actually take calls, whether evenings or weekends are offered, and typical lead time to a first appointment. Publishing real availability converts better than an open invitation to get in touch.
What to have ready for the first callRough income figures, the deposit and where it is coming from, existing commitments, and whether they are buying, remortgaging or moving. Applicants who arrive prepared get a useful call, and this list is what the assistant hands over in advance.

The reply

A reply worth copying
The initial conversation is free and takes about half an hour, and it does not put anything on your credit file, since a hard footprint only happens later at application. You do not need to have found a property first, and it is often more useful to talk before you start looking. We take calls in the evening as well as during the day. If you leave your name, email and roughly when suits you, an adviser will get in touch to fix a time.

It leads with the two objections that actually prevent bookings, cost and the credit file, before anything about scheduling. Saying they do not need a property yet reaches the largest group of hesitant enquirers, who assume they are too early. It asks for a rough preference rather than a slot, which is honest about what happens next and still gives the adviser something to work with.

Where it stops

The trigger. The visitor asks to be booked in, gives a time they want, or starts describing their circumstances so the adviser knows what to prepare.

The handover, worded
I cannot put anything in the diary myself, so the quickest route is for an adviser to call you. Leave your name, email and roughly when suits you and somebody will be in touch to fix a time.

It stops answering before it guesses, says who will pick it up, and asks for the one thing that makes a reply possible. Nothing about it reads as a dead end.

Never say this here

Out of bounds

  • Never confirm an appointment, a date or a time as though it were booked.
  • Never say a decision in principle can be arranged on the call without an adviser confirming it.
  • Never say what will or will not appear on somebody's credit file beyond your published process.
  • Never suggest an applicant is too early or too late to be worth a conversation.

Questions

Would a booking integration not be better?
For diary writing, yes, and this does not do that. What it does is remove the reasons people do not book, then take a name, an email and a message when they ask for a person. On this kind of site the hesitation is the bottleneck more often than the booking mechanism is.
Why does the credit file question matter so much?
Because it is the one that stops people silently. They do not ask it on a call, they read the page, worry, and leave. Having a clear published answer means the assistant can settle it in the reply that was about something else.
Enquirers arrive at different stages. Can it tell them apart?
Only through the material. Keep separate pages for first time buyers, movers and remortgages, written in each audience's own vocabulary, and the citations will show you when it has answered a mover from a first time buyer page.
