The owner wants to move it, and the animal has not eaten since last night
The word appointment covers a ten minute booster with a nurse and a morning admission for surgery on an animal that has been starved since the night before. Those do not move on the same terms, and an assistant that offers one notice period for the whole day is wrong about most of these requests.
Why this is not the general answer
The handling pattern for rescheduling and cancelling holds across every trade. What follows is the part that does not.
- An admission for a procedure is a theatre slot with a fasted animal booked against it, so moving it late does not release the slot for anybody else and it means the owner starving the animal a second time.
- A vaccination course runs to intervals set by the product rather than by the practice, so pushing the second injection back is not a scheduling question at all. It is a question about whether the course still stands, and only a vet can answer it.
- The client is the owner and the patient cannot be consulted, so a request to move somebody else's appointment usually comes from a partner or an adult child who genuinely is part of the household, which makes a flat confidentiality refusal read badly and a flat yes unwise.
- A euthanasia appointment is arranged into quiet time rather than slotted into a list, and it is the one entry in the diary that must never be discussed by anything other than a person.
How it arrives
- can i move my dogs op to next week
- i fed the cat this morning can she still be admitted
- how late can i cancel a booster
- my puppys second jab is due friday can it wait
- can my partner change the appointment for our dog
- can i bring the cats dental forward
What has to be indexed for this to work
| Notice, written separately for consults and for admissions | A ten minute consult and a morning admission cannot carry the same requirement, because the second holds theatre time and a nurse rostered to it. Write the two rules side by side, using the appointment names reception actually uses. |
|---|---|
| The fasting instruction and what breaks it | The time food is withdrawn, whether water stays down, and what the practice does when an animal has eaten anyway. Owners ring about this more than anything else on the morning, and the answer decides whether the operation goes ahead. |
| Vaccination intervals as the product sets them | The gap between injections for each course you run, and your position on a late second injection. Publish the interval as a fact and the lateness question as one for the vet, because those are two different answers wearing one question. |
| Who may change an appointment for a household | Whether you accept a change from anybody in the household and what you ask for first. Registration sits in one person's name while the animal belongs to a family, so this arrives weekly and a blunt refusal irritates people doing nothing wrong. |
The reply
Consults and admissions carry different notice, and both are on our appointments page [1]. A booster or a nail clip is easy to move. An operation is a theatre morning with a nurse and a fasted animal booked against it, so those are changed by speaking to reception [2]. If it is your puppy's second injection you want to shift, please ring, because whether the course still stands after a delay is a decision for the vet. I cannot see or change the diary from here.
It splits the day into consults and theatre before quoting anything, because the notice genuinely differs and the reason is easy to accept once somebody says it. The vaccination interval is pulled out separately, since that is the only part of this question with a clinical answer inside it. The limit is stated plainly at the end rather than buried under an offer.
Where it stops
The trigger. The owner names an operation, says the animal has already eaten, or asks to move an appointment booked to put an animal to sleep.
I cannot move anything in the diary, and if the animal has eaten before an admission the vet needs to know before you set off. Please ring reception now, or leave me your name, an email and which appointment you mean and they will call you.
It stops answering before it guesses, says who will pick it up, and asks for the one thing that makes a reply possible. Nothing about it reads as a dead end.
Never say this here
Out of bounds
- Never say an appointment has been moved or cancelled, because nothing in this conversation reaches the diary.
- Never tell an owner whether an animal that has eaten can still be anaesthetised, since that is the vet's decision on the morning.
- Never say a vaccination can safely be given late, or that a course will not need restarting.
- Never discuss a euthanasia appointment, including confirming that one exists, whoever appears to be asking.
Questions
- Could it move an appointment if we connected our practice system?
- No. It has no connection to any system and cannot write anywhere, so a change always ends with reception. What it takes off the phone is the call that only ever wanted the notice period and whether the animal can still be fed.
- Owners ring on the morning about food. Can it answer that?
- It can quote your fasting instruction word for word, which covers the owner checking before they feed. It must not tell somebody whose cat has already eaten that the operation can go ahead, because that is decided by the vet when the animal arrives.
- Should it mention a missed appointment charge here?
- Only where your terms genuinely apply one, and in their own wording. Leading with a charge when an owner is trying to tell you early is how you train people to simply not turn up with the dog.
