Playbook, physiotherapy clinic
Open does not mean your physiotherapist is in
Almost every hours question at a physio clinic is really a rota question. The doors being unlocked at eight is no use to somebody whose clinician works two afternoons a week, and the gym next door often keeps hours of its own.
Why this is not the general answer
The handling pattern for opening hours holds across every trade. What follows is the part that does not.
- Clinic hours and clinician hours are different facts, and the second one is what the visitor needs, so an accurate answer about the building can still send somebody to a closed door in practice.
- Early morning and evening clinics exist specifically so people can be treated around work, and they are the sessions that fill first, which makes them the hours most often asked about.
- The rehab gym or class studio frequently runs on its own timetable, sometimes wider than reception and sometimes staffed only during classes, so one set of hours does not describe the site.
- Specialist interests concentrate into single days, so the person who does hand therapy or vestibular work may be in once a week, and a general hours answer quietly hides that.
How it arrives
- are you open on saturdays
- do you do appointments before work
- what time is the last appointment
- can i use the gym when the clinic is shut
- what days is the hand therapist in
- are you open between christmas and new year
What has to be indexed for this to work
| Clinic hours and appointment hours as two rows | The hours the building is staffed and the hours treatment is actually available. Where the last appointment starts before closing, say the last appointment time, because that is the fact people are after. |
|---|---|
| Early and late clinic days | Which days run before or after normal hours, and whether every clinician works them. This is the single most valuable line in your hours material and it is usually missing. |
| Rehab gym and class timetable | Opening times for the gym space, whether it is supervised, and the class schedule. Kept as its own document, because it changes on a different cycle from clinic hours. |
| Holiday and cover arrangements | Dated closures and reduced weeks, with the date they were last updated. An out of date closure notice is worse than none, because the assistant will state it with confidence. |
The reply
Reception is open the hours listed on our contact page, and we run an early clinic and a late clinic on the days shown there [1]. Which physiotherapist is in on which day is a separate thing, and it is set out on our team page [2]. The rehab gym keeps its own timetable, so if it is the gym you are asking about, that page is the one to check.
It answers three different hours questions separately instead of pretending they are one, which is the mistake that makes this intent go wrong here. The clinician rota is pointed at rather than paraphrased, since a rota is the fastest changing thing in the building. The gym is named last because most visitors are not asking about it and the ones who are need to be redirected cleanly.
Where it stops
The trigger. The visitor wants to know whether a named clinician is working on a particular date, or asks the assistant to check whether the clinic is open right now during a holiday period.
I cannot see the rota or today's cover. Ring the number on this page during opening hours, or leave me your name and an email and somebody will confirm it for you.
It stops answering before it guesses, says who will pick it up, and asks for the one thing that makes a reply possible. Nothing about it reads as a dead end.
Never say this here
Out of bounds
- Never state that a named physiotherapist is working today, because that is a rota fact the assistant cannot see.
- Never give clinic hours in answer to a question about the gym or a class.
- Never say the clinic is open now, since the assistant has no reliable way to know what today is doing.
- Never imply a last appointment can be squeezed in after the published finish time.
Questions
- Why separate the last appointment time from closing time?
- Because somebody ringing at ten to six wants treatment, not a locked door and a receptionist. If your last slot starts an hour before you close, that is the number that belongs in the material.
- Can it tell somebody which days a clinician works?
- It can quote a published team page. It should not present that as today's rota, because cover, leave and clinic changes all happen faster than a website does.
- Do class times belong in the same document?
- No. Keep the timetable separate. Merged into general hours it goes stale faster than everything around it and drags the accurate parts down with it.
