What a vet assistant can settle before an owner rings to book
A good share of veterinary booking questions can be answered outright, because they are really questions about what the practice does rather than about the diary. The rest change character the moment the animal is described as unwell.
Why this is not the general answer
The handling pattern for appointment booking holds across every trade. What follows is the part that does not.
- The first booking question at a vet practice is often whether you treat the species at all, and answering it is a clean win because it is a fixed property of the practice.
- A vaccination course runs to a schedule rather than being one appointment, so a puppy or kitten booking is a sequence and the material has to describe it as one.
- Nurse clinics handle a large share of routine work, and owners generally have no idea which appointments need a vet and which do not.
- A booking request that mentions the animal being unwell stops being a booking request, and the change of gear is more abrupt here than anywhere else because the owner is already moving.
How it arrives
- do you see rabbits
- can i book a nail clip
- how do i book my puppys vaccinations
- do i need an appointment for a weight check
- can i book with a nurse instead of a vet
- how soon can i get my kitten registered
What has to be indexed for this to work
| Which species and services you cover | Exotics, small mammals, horses, farm animals. A practice that does not see rabbits is asked about rabbits every week, and the answer never varies. |
|---|---|
| Which appointments are nurse led | Nail clips, weight checks, post operative checks, second vaccinations. Owners do not know the split and it changes who they need to book with. |
| Vaccination course schedules | The intervals for the common species, described as a course with steps rather than as a single appointment with a price. |
| Registration before a first appointment | What a new client needs to provide, and whether history has to come across from a previous practice first. |
The reply
We do see rabbits, and a first vaccination appointment is with a vet [1]. Puppy and kitten vaccinations run as a course with a set interval between the injections, and the timings are on our preventative care page [2]. I cannot see the diary or make bookings, so please ring reception or use the form on this page, and register first if you have not been to us before.
The species question is answered outright, because it is factual and it closes an entire class of wasted phone call. The course is described as a course, which stops the owner expecting one visit. Registration is mentioned because it is the step that otherwise stalls a first appointment at the door.
Where it stops
The trigger. The owner mentions that the animal is unwell, off its food, limping or not itself, while asking for an appointment.
That is not something I can book or judge. Please ring the practice now on the number above, or the out of hours service if we are closed.
It stops answering before it guesses, says who will pick it up, and asks for the one thing that makes a reply possible. Nothing about it reads as a dead end.
Never say this here
Out of bounds
- Never say an appointment slot is free today.
- Never say a vaccination can safely be given late or brought forward.
- Never say whether an animal ought to be seen this week.
- Never confirm a named client's booking or history.
Questions
- What is the highest value thing to index for this?
- The list of species and services you cover. It never changes case by case, it is asked constantly, and every correct answer saves a call that was always going to end in a no.
- Can it explain a vaccination course?
- It can describe the schedule you publish. It must not say whether a particular animal is due, overdue or safe to vaccinate late, since all three are clinical.
- How does it know which appointments are nurse led?
- Only from your material. Most practice sites never write this down, which is why owners book a vet appointment for a nail clip and a vet spends ten minutes on it.
